Contractors/Customers/Clients Privacy Notice 

As a contractor/customer/supplier to/of (organisation) the personal data that we hold about you is the information provided by you during your transactions with us (give details), namely: 

Your name, address and preferred contact details 

Payment arrangements, including method of payment ** (cheque or payment references).   

Updates to your contact details (if provided) 

CCTV footage (if relevant) when moving in clearly defined CCTV areas 

Other (specify) 

** At no point will the organisation or its employees store card details when/if you pay by debit/credit card 

Personal data is stored on the organisation’s (give details of where stored). Access to this data is restricted to the (job title) who is required to maintain the organisation’s data. Access is controlled through password protection. 

Personal data may be retained for as long as it is necessary or until such time as you tell us that you no longer wish us to retain your information. Personal data will then be deleted. 

Contact details will be held until such time as (state necessary duration) 

Financial records including payment arrangements will be retained until the end of the statutory requirement 

(any other requirements specific to your organisation) 

Personal data may be shared with third party organisations in a limited number of instances. Any payment arrangements will be shared with relevant banks. Personal data will only be shared where relevant and proportionate. 

You may object to the organisation processing your personal data for any or all of the purposes listed above. To exercise this right you should contact (job title) giving clear details of the processing activities and/or types of personal data to which your objection applies. The cessation of data processing might have unintended consequences, for example, an objection to processing bank details for payment would result in payment not being processed unless an alternative method of payment was agreed. 

Where personal data is shared, we will ensure that security is maintained, using tools such as encryption. Personal data is never sold to third parties.
